JOB TITLE: NEWCIS Office and Events Facilitator   

SALARY: £11,487 per annum

HOURS: 21 hrs per week

DURATION: 31st March 2025 / Subject to annual review and of funding

LOCATION: NEWCIS Carers Centre Mold, but may be required to travel to cover other sites and events as required.

PURPOSE OF ROLE: 

To provide essential daily, front of house support for the running of the NEWCIS office. Working with the Carer Wellbeing Officers to facilitate training & events for carers. To ensure NEWCIS provide relevant identified training course and organise and facilitate carer events throughout the year, including, but not limited to, Carers week, Carers Rights Day and at Christmas. To support the charity with its fundraising efforts as part of the wider NEWCIS team.

MAIN DUTIES AND RESPONSIBILITIES:

Organise the carers training programme working with training providers ensuring the budget requirements are met and that the training has been identified as a need with carers and within the organisation.

Organise training courses and drop inns in line with our contracts, this will include room maintenance, bookings, refreshments, organising outside trainers and speakers to facilitate courses. This information will then be required for the newsletter and must meet the given deadlines for the articles to be published. Carer requests and needs must be listened to and added into the programme. Consultation with carers around what they feel they need as part of the training programme is an essential part of the role.

Organise the main events in Carers week, carers Rights Day and at Christmas for carers, liaising with the other counties and the volunteer/fundraising co-ordinator. This may include attending events, ordering supplies, taking bookings and liaising with carers.

Working with NEWCIS COPE officer to support carers finding and accessing the right training for them to re-enter the workforce/explore new work and volunteer/education opportunities.

As part of the administration team answer and managing calls and email inquiries into the main office from carers, providers and statutory bodies. Provide them with information and support, referring them to the Carer Wellbeing Officers for an assessment where required.

Entering all call details onto Charity Log and appropriate spread sheets. This requires liaising with the Wellbeing officers and carers to ensure that a good quality service is provided.

 Dealing with carers who may walk into the centre and need information packs, booking appointments with wellbeing officers, supporting the duty rota if required and entering the information provided onto Charity log.

Liaise with the team leaders to ensure carer contact deadlines are being met for carers.

Maintain all NEWCIS monitoring procedures in line with The Charity Excellence Quality Assurance Framework and update the data base.

Carrying out general office duties in line with company policies such as handling petty cash, ensuring the post is sorted each day and is given to appropriate staff members and outgoing post dealt with.

Support the organisation of the newsletter, which includes the franking of the envelopes and arrangement of collection of the post bags.

Be responsible for the Health and safety checks at locking up ensuring all equipment is unplugged, fire doors closed and all lights off. Complete appropriate paperwork to show that the checks have been completed.

Maintaining and ensuring confidentiality over personal information relating to individual users of NEWCIS and company information in line with the General Data Protection Regulations (2018).

Carry out such other duties as may be required, which are consistent with the duties and responsibilities of the post.

Agree to complete QCF level 3 in social care or Advice and Assistance if a suitable qualification in social care has not already been taken.

To support the charities fundraising efforts. Working collaboratively with the team both at NEWCIS and CVL to promote fundraising activities, drive innovation/ideas for fundraising and support with the planning and execution of fundraising activities.

COMMUNICATIONS:

Work with the administration team leader and wellbeing officers ensuring communications are well managed and all parties are updated on the activities of the post. The use of the NEWCIS data base is an essential part of this process.

Work with the administration teams in taking referrals and passing them on to the duty Wellbeing Officers.

GENERAL

Teamwork is essential to the smooth running of the organisation and all members are required to play an active part. Staff duties include helping to maintain cover in the office, dealing with calls from Carers and following all the policies and procedures of the organisation. Everyone has a responsibility to work co-operatively and in collaboration with all members to ensure that the organisation meets the requirements of the service level agreements it has entered into.

Due to the nature of the job, some evening and weekend work will be necessary and some engagement with our fundraising activities is also required for which time off in lieu can be taken.

LOCATION

The role is based at the Mold Carers Centre, however the jobholder may be required from time to time to work in the Rhyl or Wrexham office, as such a current UK driving licence and access to a vehicle or access to equivalent transport is required.

You are responsible for limiting your actions to those which you feel competent to undertake.  If you have any doubts about your competence during the course of your duties, you should immediately speak to your line manager.

RISK MANAGEMENT

It is a standard element of the role and responsibility of all staff within the Charity to fulfil a proactive role towards the management of risk in all their actions. This entails the risk assessment of all situations, the taking of appropriate actions and reporting of all incidents, near misses and hazards.

HEALTH AND SAFETY REQUIREMENTS

All employees of the Charity have a statutory duty of care for their own personal safety and that of others who may be affected by their acts or omissions.  Employees are required to co-operate with management to enable the Charity to meet its own legal duties and to report any hazardous situations or defective equipment.
